Tracking reimbursements
Use reimbursements to track money you spent that someone else owes you back — work expenses, charges you covered for a friend, anything you expect to get paid back for.
Two flags, one workflow
Two transaction flags drive reimbursement tracking:
- Reimbursable — money you spent that's owed back.
- Reimbursement — money you received that pays back a previous reimbursable charge.
Mark both on the transaction editor (or in bulk).
The Reimbursements page
Open Reimbursements to see what's outstanding.
The Pending tab lists every reimbursable transaction not yet matched to a reimbursement. You see:
- The total dollars outstanding.
- The number of pending transactions.
- The age of the oldest pending charge.
- A breakdown grouped by Account or by Tag.
The Reconciled tab shows pairs you've already matched.
Pairing a reimbursement with a charge
When the payback comes in (a deposit from your employer, a Venmo from a friend), mark it Reimbursement and pair it with the original reimbursable charge. The pair moves to the Reconciled tab.
Tips
- Use a tag (e.g.,
business-trip-2026) on every charge for the same trip. Group the Reimbursements view by Tag to see one trip's outstanding total at a glance. - The aging counter helps you nudge — anything over 30 days is worth a follow-up.
FAQ
Does a reimbursable charge still count against my budget? Yes. Spending is recorded at face value. Reimbursements come in as separate income transactions. If you'd rather hide a reimbursable charge from spending entirely, exclude its category from your budget instead.
Can I bulk-mark transactions as reimbursable? Yes. Select multiple rows on the Transactions page and use Bulk edit.
What if my employer sends one lump sum for several reimbursable charges? Mark the deposit as Reimbursement. Pair it with as many of the pending charges as it covers — the totals don't have to match exactly.
